A quick guide to PDF comments in Acrobat

For use with Artbox designed documents

Getting started – important notes!

Use correct, updated Acrobat software

Make sure you use desktop versions of Adobe Acrobat Pro or Acrobat Reader only.

Do not use Acrobat Online or the mobile app as they will not function correctly.

Notify us of repeated words or phrases

If you want a word or phrase changed throughout the document, flag it for search and replace at the first instance. We’ll update it everywhere—no further comments needed in the PDF.

Comment direct changes only

Internal questions and discussions should not be included in the commented PDF to Artbox.

Tool overview & how to use them

Please follow the instructions below and use only the specified tools to ensure accurate corrections.

Locating the comment tools in Acrobat

After opening Acrobat, locate the toolbar on the left. If it doesn’t appear, click "All tools" on the top menu to reveal the full toolset. Use only the tools outlined below.

Replace text

Replace selected text

Select the exact text you want to change, including spaces and punctuation. Do not include labels like “change text:” or “new text:”. Enter only the new text.

  1. Select text to change

Insert new text

Replace selected text

Use the Replace text tool. Do not use the Insert text tool.

  1. Position your cursor where you want to insert text and select the word before.

  2. Retype the selected word exactly as it appears—including spaces and punctuation—then add the text you want to insert.

Delete text

Optional tool

Strikethrough

Use either the regular mouse pointer or the Strikethrough tool. Carefully select only the text you want to delete, including punctuation and spaces.

  1. Using the mouse pointer, select the text you want to delete and press the Backspace key on your keyboard.

  2. Using the Strikethrough tool, select the text you want to delete.

Comments on design, layout and graphics

Add a comment

Use the Add a Comment or Highlight tool for design, layout, and graphic-related changes only, including text or number updates in graphs, charts, and figures.

  1. With the Highlight tool selected, highlight a section of text to indicate what your comment is referring to. For general layout comments, or comments on non-text objects like images or illustrations, please use the Add a comment tool.

  2. Type in your comment.

Do not use for any changes in text, except for graphs.

Save & send

Save the document correctly

To prevent files from being mixed up or overwritten.

  1. Use the "Save as..." function.

  2. Name your document so it is recognizable as the commented version. Please keep version number from Artbox in the filename for our reference.

A few additional important notes

  • After sending your commented PDF to Artbox, please wait for an updated version before adding more comments.

  • If you need to send further feedback, contact your designer so we can plan the next steps together.

  • For larger table revisions, use your original Excel file and highlight all updated cells.

  • The tools in this guide may appear in different menus or locations in Acrobat. You may use them, but make sure they are the exact same tools described here.
